Internal knowledge assistant design in English-speaking markets
When a team repeatedly searches old files or asks the owner the same questions, a focused knowledge assistant may be worth evaluating. The starting point is a small, maintained source collection and a set of real staff questions. This example outlines design considerations; it does not represent an installed assistant or connected document library.

Choose a narrow question set and clean source collection
Begin with a topic such as project onboarding or routine delivery procedures. Gather representative questions from the people doing the work, then identify the documents that should answer them. Mark drafts, superseded guidance and conflicting instructions before adding material. Each included source should have an owner and a review date so the team knows who can resolve an uncertain answer.
Make answers traceable and uncertainty visible
Specify that substantive answers must include a reference to the approved source and enough detail for staff to locate the supporting passage. If the source does not answer the question, the assistant should say so and identify the appropriate human contact. Conflicting documents should trigger review. A citation alone is insufficient: evaluation must check that the cited passage actually supports the answer.
Design access and document changes together
Limit the first collection to material approved for its intended users. Exclude private HR files, credentials and confidential client material from a general staff assistant. Define how access restrictions apply during retrieval and how removed or replaced documents stop appearing in answers. Confirm storage, retention and vendor data settings before introducing business information. Document text must not be allowed to override access rules or trigger unrelated actions.
Evaluate answers, refusals and source failures
An illustrative test set could contain 15 answerable questions, five with no approved answer, five involving conflicting guidance and five requesting restricted information. Have the document owner score factual support, reference accuracy and escalation behaviour. Set a target for usable supported answers and require every restricted-information case to withhold the protected content. If retrieval fails, the designed behaviour should be a clear unavailable response and a manual lookup route. Repeat the relevant tests after source or configuration changes.
